Atkins is looking for an experienced Receptionist / Admin, to be based in Dubai office.
  • Responsible and reporting to Facility Management/Admin Manager to provide the day-to-day management of the main reception by providing an efficient and helpful service as the first point of contact for all discipline, calls, visitors and clients to the office.
  • Responsible for answering the main switch board. Receiving calls and making sure they are passed to individuals promptly. If these individuals are not available, advising the caller and asking to take a message or call back
  • Responsible for welcoming and assist all visitors to the business whilst ensuring all safety standards are adhered to
  • Responsible for sending and receiving all couriers and liaising with courier companies
  • Responsible for distributing documents to contractors i.e. tender documents, obtaining receipt on handover of originals and passing receipted letter back to the person concerned handling the project via the internal distribution system
  • Responsible for receiving fax documents and courier parcel/documents and send them to the right department on a daily basis
  • Conduct themselves professionally at all time and work seamlessly with ones colleagues
  • To maintain the cleanliness and over all look of the reception on a daily basis.
  • To ensure all access cards are recorded
  • To manage, guide and support colleagues accordingly with their meeting room requests and amenities to ensure there are no conflicts with the room bookings
  • To liaise with Facility Management department for any parking request specially for visitors/clients and colleagues in Bur Dubai Office as to when required
  • Arranging meetings, room bookings and lunch requisition for colleagues/clients as to when required
  • Arranging driver for meetings, submission, etc. for all discipline and department as to when required
  • Deal with the administrative issues by reporting it to Facility Management/Admin Manager in the office from time to time
  • To assist other departments as such SNCL, F+G, Finance and Bidding by providing secretarial and administrative support as to when required
  • All other adhoc admin duties as and when required by the Management
