Dr Costi House of Beauty’s fully-enabled, AI-powered easy-to-use app follows a holistic approach to improve customers’ overall dermatology and beauty personalized plans. The app has a virtual assistant that helps customers with everything they need, whether bookings, inquiries or information they are looking for. We go above and beyond to make the customer experience at our clinic truly memorable through integrating cutting-edge digital technologies like artificial intelligence and augmented reality to keep customers connected with our team at all times

About the role

As a Clinic Hostess you will be responsible for coordinating the full patient flow at our newly opened smart beauty clinic - Dr. Costi House of Beauty. This starts with greeting patients in an efficient and courteous manner and assisting them through to the preparation room and finally to the waiting room before they proceed to get their treatment. You will maintain an excellent standard of customer care at all times to ensure a warm welcome and pleasant introduction to the clinic. You must be passionate and dedicated about customer excellence and helping our patients’ look and feel their best. You must be efficient, organized, and capable of multitasking and have the ability to listen and respond to demanding patients’ needs. You will be an excellent communicator with a passion for delivering exceptional levels of client service. As a flexible team player, you will have a positive, “Yes I can” attitude. You will be compassionate and discrete with excellent time management and record keeping skills.

Responsibilities:

Greet patients upon arrival and check them in for their appointments
Fill out patient's digital medical file and collect any other necessary information
Schedule and confirm appointments as needed
Maintain a welcoming and professional demeanor at all times
Assists patients with any concerns or needs they may have while they are at the clinic
Collaborate with other clinic staff to ensure that patients receive the best possible care and service.
Regularly checking the system to check reservations for the day and be knowledgeable with customer information and necessary details.
Upon notification that a patient is arriving, send the in-app greeting and offer refreshments to be served upon arrival to the clinic.
To greet patients and confirm their arrival on system; and ensure that they are made to feel welcome and deal with their enquiry in a professional and courteous way.
To ensure all clinic procedures are adhered to and completed in a timely manner in line with clinic needs.
Assisting patients with future appointment booking and general customer app usage.
To maintain patient records in accordance with organisational procedures and data protection requirements, ensuring discretion and confidentiality at all times.
Responsibility for all aspects of in-clinic customer care and following customer care processes whilst managing complaints and incidents
Ensuring that the clinic is kept clean and organised.
Abiding to all health and safety regulations and protocols.
To promote and recommend the clinic’s services, using the product knowledge and the resources you have been provided with
Supporting any marketing activity and campaigns as necessary. Always recording on systems where clients heard of promotions.
Following up on the ordering and stock control of equipment and supplies, including consumables, office supplies, and sales products.
Candidate requirements :

Education & Experience :

Bachelor's degree in marketing, communications, business management, or in a related field is preferred.
Minimum 2 years’ experience in a front-facing role dealing with clients such as Hotel Front- desk or receptionist experience in a Plastic Surgery, Cosmetic Dermatology or Medical Spa office preferred. Competencies & Skills
The ideal candidate is a self-starter, patient-centred, and exhibits strong ability to work in a team-based, fast-paced environment with proven patient care processes.
Problem solving and analytical skills
Excellent verbal and written communication skills
Bilingual in English and Arabic (French language is a Plus)
Working knowledge of Microsoft Office programs
Regular and reliable attendance
Ability to work overtime during peak periods
Qualifications:

Strong customer service skills
Excellent organizational skills and ability to multitask
Strong communication skills in English and French
