The Role
- Responsible for the maintenance of the office environment and executive offices, as well as the procurement and replenishment of office supplies, including cleaning, printers, exhibition hall electronic equipment, water and electricity networks, and daily maintenance and troubleshooting of equipment.
- Regular maintenance of equipment and supply of office supplies to ensure normal operation, and responsible for related payments, expense management, and payment matters. Accommodation arrangement for higher management:
- Assisting in the leasing of accommodations, including finding suitable apartments, handling and finalizing contract details, and timely payment of subsequent housing expenses including rent, utilities, internet fees, air conditioning fees, maintenance fees, and other related costs. Company Asset Management:
- Responsible for the management of fixed assets in the office, including furniture, appliances, office equipment, computers, etc.
- This involves checking the usage of assets, updating user information, managing storage locations, labelling, etc. Visitor Reception:
- Assisting in arranging reception work, including hotel and restaurant reservations, arranging vehicle transfers, preparing gifts, conference equipment setup, exhibition hall decoration, and arranging visits to the World Expo Park, etc. Other Administrative Support Work:
- Company vehicle scheduling, management of document seals, document files, and licenses, employee business card printing, assisting in arranging employee annual leave and business travel tickets and hotel reservations, etc.
- Able to cooperate and complete temporary and emergent administrative support tasks.
- Strong execution and communication coordination skills, a team player
- Strong communication skills in both Chinese and English, meticulous, patient, and responsible.
- Proficient in continuously learning new knowledge and improving professional skills. Able to independently complete complex tasks.
- Proficient in using office software and other office tools, possessing good writing skills. Prior experience in office administration or administrative management is preferred.
- Familiarity with UAE government policies and regulations is preferred.
- Possession of a UAE driver's license.
