Job Description

Boeing International Corporation is recruiting Administrative Assistant under BGES organization reporting to the Senior Business Support Manager.


  • Administrative Assistant will manage visitors services which includes greeting, screening and directing visitors at company sites to specific locations and office.
  • Issue badges and passes to visitors authorized to enter company property, acts as focal for receipt and delivery of mail including express packages, and provides general company location and policy information to inquirers.
  • Applies appropriate protocol, discretion, and diplomacy when assisting such visitors as government officials, company, customers, and the media, and shows sensitivity to the culture and customs of local and foreign visitors. Participates on team tasks to improve office and reception processes, documents reception conditions, and implements changes.
  • Manage incoming and needed outgoing phone calls and access to/from office of office occupants and visitors in accordance with office safety and security policies and procedures, including managing office security processes and equipment.
  • Provide office support for business travelers and travelers requiring general/emergency assistance, also by providing assistance with transportation arrangements.
  • Schedule use of conference rooms and visitor offices; keep track of office occupants including all visitors.
  • Document office visitor traffic.
  • Manage outsourced cleaning company personnel, coordinate with building management & security, air-conditioning, and other departments as necessary.
  • Assist office administrator with internal forms and filing such as payment request forms, travel reports etc.
  • Ability to draft and translate letters English / Arabic
  • Support business partners in office related activities and act as the point of contact for any queries and requests related to the office support.
  • Provide support in making all necessary arrangements for internal & external business meetings supported by the business unit (in coordination with concerned focal)
  • Perform proficient communications with customers and business partners (via all office communication channels) to effectively support office activities
  • Provide general office assistant support to management and business administration personnel as required, including taking care of post office activities and small office supplies purchases in nearby stores, manage office stationary and kitchen supplies including stock holding and ordering, and other tasks as instructed by the manager. Maintaining office inventory listing.
  • Assisting in selected functions such as scanning, photocopying and filing documents. Assisting in data entry processing and providing support to internal Business Unit leader(s) when required.
  • Act as a back up to other team members as needed
  • Other duties as assigned by management
  • Duties are subject to Change per management requirements.


Basic Qualifications:

Preferred Bachelor Degree or High School Certificate with 2 years’ experience

Basic computing skills including Microsoft Outlook, Word, Excel and PowerPoint

Demonstrate very good English and Arabic written, oral and interpersonal communication skills

Prior experience in a multinational environment in a similar position preferred

Friendly, cooperative and willing approach to assisting others as needed, and in undertaking routine work as well as special assignments

Must work well in a team environment

Demonstrated ability to provide professional support to management, maintaining confidentiality, managing priorities, and meeting deadlines

Willingness to learn and apply new skills

Working hours:

40 hours/5 days per week with two days of rest (Friday/Saturday).

This requisition is for an international, locally hired position in Kuwait. Benefits and pay are determined at the local level and are not part of Boeing U.S.-based payroll and will commensurate with experience and qualifications and in accordance with applicable Kuwait law. Employment is subject to the candidate's ability to satisfy all Kuwait labor and immigration formalities.
