The Institute for Advanced Study (IAS) Administrative Assistant provides administrative, financial, and clerical support for IAS_NUQ programs in areas such as events, fellowships, partnerships, and publications. Duties may include scheduling meetings, making travel arrangements, coordinating catering, paying invoices, processing student stipends, and preparing expense reports. This position requires someone who is very organized, self-motivated, and detail oriented.

Responsibilities

  • Support special events (examples include workshops, book talks, conferences, and panel discussions) at the Institute for Advanced Study by arranging travel, coordinating catering, reserving rooms, setting up and paying vendors, and processing guest expense reports and honoraria.
  • Support IAS Undergraduate Fellowships by compiling application materials, arranging meetings, processing student stipends, assisting with student travel, and processing reimbursements.
  • Carry out financial functions in accordance with Northwestern and NU-Q financial policies. Examples include processing contracts, purchase orders, and invoices; tracking IAS project budgets; and preparing IAS staff expense reports.
  • Provide clerical help as needed to support IAS faculty grants, fellowships, and affiliations. Examples may include coordinating workshops, planning meetings, and preparing/tracking budgets.
  • Assist IAS staff in maintaining the IAS annual calendar and planning timeline, including updating the NU-Q Authoritative Calendar with events that have school-wide impact.
  • Respond to general inquiries and other general office duties as assigned by IAS staff.
required knowledge, skills, and abilities:

  • Bachelor's degree or equivalent combination of training and experience
  • 3 years’ work experience in an administrative setting
  • Proficient computer skills, including Microsoft Office
  • Excellent verbal and written communication skills
  • Strong organizational and planning skills
  • Familiarity with basic financial tasks
  • Demonstrated adaptability, dependability, efficiency. and professionalism
  • Ability to handle multiple tasks simultaneously while setting and achieving deadlines
  • Ability to work and interact with diverse populations globally
PREFERRED knowledge, skills, and abilities:

  • Existing State of Qatar resident
  • Experience working in higher education setting
  • Demonstrated initiative and decision-making skills
  • Knowledge of Doha, and US and Qatari culture
  • Knowledge of Arabic
