To be successful as a receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is essential.
Ultimately, a receptionist’s duties and responsibilities are to ensure the front desk welcomes guests & tenants positively and executes all administrative tasks to the highest quality standards.
Responsibilities
Greet and welcome guests & tenants as soon as they arrive at the office
Direct visitors to the appropriate person and office
Answer, screen and forward incoming phone calls
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Provide basic and accurate information in-person and via phone/email
Receive, sort and distribute daily mail/deliveries - Parcels
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Receive tenants' maintenance requests and forwarded to the maintenance coordinator for further action.
Follow up on all maintenance requests to ensure the job is done as required
Conduct curtesy calls to maintain quality of service is up to the standard
Record all requests and comments and forwarded to the management for further action
Assign the drivers to the planned destination and ensure the service was delivered as per standard
Promote Mura Bustan activities & services via all business channels (WhatsApp, social media, emails etc...)
Follow up on all digital marketing activities and update the management accordingly
Plan and implement all social events/activities and special occasion
Plan and follow on the transportation and limousine services
Ensure all invoices to be collected and submitted in a timely manner
Ensure all facilities and services are well checked and maintained
Order front office supplies and keep inventory of stock
Keep updated records of office expenses and costs
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Requirements and skills
Saudi National Only based in Jeddah
Proven work experience as a receptionist
Bachelor's Degree or Diploma
Fluent in English
Microsoft Office and computer literacy
Well-disciplined and punctual with full commitment
Salary Range:
SR. 5000 to SR. 6000
