Senior Specialist, Special Projects

The Senior Specialist, Special Projects is responsible for managing and coordinating all administrative activities within the department on a daily basis, and is responsible for assisting the Head of Department on prioritizing department initiatives and projects as well as daily activities with all internal and external stakeholders. He/she will also be responsible for performing project management and follow-up tasks with direct supervision from the Head of Department and other senior management in the sustainability department

  • Oversee and support all administrative duties in the office and ensure smooth office operations
  • Carries out project management tasks with the direct supervisions of the department head and senior department management 
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
  • Assisting the Head of Department on prioritizing department initiatives and projects as well as daily activities with all internal and external stakeholders
  • Maintaining and managing regular departmental tasks, such as the risk register, training program, orientation and induction day program, etc. 
  • Identify opportunities for process and office management improvements, and design and implement new systems
  • Maintaining the current filing and database system, and looking for ways to improve current Systems
  • Manage office budget & invoices
  • Assist with office layout planning and office moves, and with managing and maintaining IT assets
  • Receive and sort incoming letters and deliveries, and manage outgoing letters
  • Serves as the point of contact between the department and internal & external colleagues
  • Participate in business meeting & planning to support business teams internally and take meeting minutes & updates
  • Participate in new department initiative & projects that requires administration support
  • Manage office supplies inventory and place orders as necessary.
  • Prepare business, financial & operating reports in conjunction with internal teams before sharing them to management
