MAIN PURPOSE:
The Executive Assistant will provide support to the CEO to help her make the best use of her time by dealing with secretarial/administrative tasks. He/She will carry out assignments as requested by the CEO and Chief of staff.

KEY RESPONSIBILITIES:
Organization and Scheduling
- Manage and maintain CEO’s schedule, including calendar management, arranging appointments, meeting and travel itineraries
- Organize and coordinate business trips for CEO and Chief of Staff
- Organize and coordinate market visits for Cartier HQ visitors and ensure professional welcoming of guests (agendas, welcome note from CEO, gifts etc.)
- Schedule Market Committee meetings
- Screen and manage emails, incoming calls and correspondence, and respond independently, when possible
- Prepare, review, and maintain correspondence, reports, presentations, and other documents as requested by the CEO (internal memos, org charts, announcements, power point presentations, etc.)
- Acts as custodian of corporate documents and records, creating and maintaining filing systems
- Take dictation, compose and prepare confidential correspondence, reports, and other documents
- Perform confidential duties and related special projects using a high level of discretion and personal judgment
- Handle a high volume of sensitive and confidential material
- Prepare and send couriers and other necessary mails.
- Manage petty cash
- Business expense management: Timely submission of expense reports of CEO and Chief of Staff; validate compliance of CEO’s direct reports’ business expense claims
- Facilitate communication between the CEO and ExCo team members, as well as other departments, locally, in HQ or other markets
- Prepare, review, and maintain correspondence, reports, presentations, and other documents as requested by the CEO (internal memos, org charts, announcements, etc.)
- Act as key contact between the CEO and the directors/director’s assistants and other departments at regional and international level, ensuring proper flow of communication and distribution of information
- Facilitate collaboration within regional Exco
- Facilitator between HQ and regional leadership team
- Manage special and regional projects at the direction of CEO (regional events, corporate projects, internal events)
- Provide support on personal matters such as family travel arrangement, liaising with PROs for family visa processing, submit and follow-up on insurance claims, schooling fees, etc.
- Manage driver’s schedule and duties
- Professional attitude, integrity and high level of discretion are essential, as well as ability to communicate appropriately at all levels
- Highly flexible and organized person, able to handle last minute changes or requests, multiple tasking
- Task focused, able to meet tight deadlines and set priorities according to business needs
- Great ability to anticipate needs

Education
BA’s degree
Required Experience
8 to 10 years as Executive Assistant
Technical Skills / Abilities
Fluent in English
Good knowledge of Microsoft Office
